Answer the player's decision questions before asking for RSVP

Players need to know whether the session fits their schedule, level, and budget. Put the date, check-in time, venue, format, level, fee, and available places where they can scan them quickly.

A title such as "Friday Padel" is easy to confuse when a group runs several sessions. Add the club or community name, area, and a clear session label.

  • Check-in time and playing time.
  • Venue, confirmed court number, and map link.
  • Match format and expected duration.
  • Intended player level and total capacity.
  • Fee per player and exactly what it includes.

Describe the format and level without vague promises

Name the real format: social match, Americano, round robin, coaching social, or mini tournament. Explain partner rotation or scoring only as far as players need before arrival.

Use the level language your community already understands. If you publish a numeric range, give enough context for a new player to interpret it. Avoid "all levels" when the pace and structure do not genuinely suit beginners.

Be honest about court and payment status

Do not present a court as confirmed while the booking is pending. State the current status, then update the same link after confirmation. If players pay the host separately, explain the method and deadline in the host notes.

List court hire, balls, coaching, or drinks as included only when they are. Add a cancellation policy only if the club or host already has one.

Prevent repeat questions with practical equipment notes

  • Whether players bring a racket or can rent one at the venue.
  • Footwear or venue rules that affect participation.
  • Confirmed availability of balls, water, changing rooms, and parking.
  • A day-of host contact for late arrivals.

Separate requirements from suggestions. "Bring your own racket" and "consider bringing a water bottle" have different consequences for a player.

Use RSVP as the player list, not just an attendance button

Capacity shapes a padel format. Set the number of players and response deadline, then review the responses before posting remaining places in the group.

Avoid maintaining emoji reactions, private messages, and a form as three separate lists. Choose one source of truth. A waitlist still needs active host management and direct confirmation.

    Compare attending responses with the match format and court booking.

  3. Confirm the roster

    Send final places or changes directly to the affected players.
